Duties
- Manage calendar schedules and coordinate appointments using tools like Google Workspace
- Handle multi-line phone systems with professionalism, practicing excellent phone etiquette to support customer inquiries and internal communications
- Perform data entry and maintain accurate records through filing systems, ensuring all documents are organized and easily accessible
- Provide exceptional customer support via email, chat, or phone, addressing inquiries promptly and professionally
- Conduct proofreading of documents, emails, and reports to ensure clarity, accuracy, and professionalism in all communications
- Manage incoming correspondence and prioritize tasks effectively to meet deadlines in a fast-moving environment
- Offer personal assistant services including travel arrangements, event planning, or other administrative errands as needed
- Collaborate with team members on special projects requiring organizational skills and attention to detail
- Conduct research and compile information as needed
- Prepare documents, presentations, and reports
- Manage social media accounts and create basic content
- Coordinate travel arrangements and itineraries
- Process invoices and track expenses
- Provide customer service support via email, chat, or phone
- Perform general administrative tasks as assigned
- Bilingual abilities are preferred to support diverse client needs and internal communication
- Strong typing skills with high accuracy; ability to proofread documents effectively
- Exceptional customer service skills coupled with professional phone etiquette for handling calls via multi-line systems
- Ability to manage multiple priorities efficiently through excellent time management practices
- Previous experience supporting executives or as a personal assistant is beneficial but not required
- Knowledge of office management procedures including filing systems, calendar management, and document organization
Required Qualifications:
- Proven experience as a virtual assistant or in a relevant administrative role
- Excellent written and verbal communication skills
- Strong proficiency in Google Workspace
- Reliable high-speed internet connection and professional workspace
- Exceptional organizational and time management abilities
- Ability to work independently with minimal supervision
- Strong attention to detail and accuracy
- Experience with project management tool, Asana
- Familiarity with CRM systems, Hubspot
- Basic graphic design skills (Canva, Adobe Suite, Sora)
- Social media management experience
- Strong Proficiency with Claude and ChatGPT

Work Schedule: You create your schedule.
Compensation: $20.00 per hour for 5 hours per week as a 1099 contractor
