POSITION SUMMARY
Wingspan Coaching Corporation is a dynamic and innovative company seeking a highly organized and adaptable Virtual Executive Assistant to support our fast-paced and forward-thinking team. As a full-time member of our remote workforce, you will play a pivotal role in ensuring seamless operations and assisting our executives in their day-to-day responsibilities. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work independently in a fast-paced environment.
RESPONSIBILITIES
- Calendar Management: Efficiently manage and coordinate executive calendars, including scheduling meetings, conference calls, and appointments across different time zones. Proactively handle conflicts and changes to ensure optimized time management.
 - Email and Communication: Monitor and prioritize executive emails, respond on their behalf when appropriate, and ensure timely and effective communication with internal and external stakeholders.
 - Travel Coordination: Arrange complex travel itineraries, including flights, accommodation, ground transportation, and other logistics. Anticipate and address travel-related challenges to ensure smooth business trips.
 - Meeting Support: Prepare meeting agendas, collate necessary documents, and conduct research as required. Take comprehensive meeting minutes and follow up on action items to ensure accountability.
 - Task Management: Assist executives in organizing and prioritizing tasks, deadlines, and deliverables. Help with project management and coordinate team efforts to meet goals.
 - Data Management: Maintain confidential and sensitive information with utmost discretion. Organize and archive documents, presentations, and reports for easy accessibility.
 - Virtual Meeting Support: Facilitate virtual meetings and video conferences, ensuring all participants have the required access and technical support.
 - Communication Liaison: Act as a liaison between executives and various teams, departments, and external stakeholders to ensure efficient information flow.
 - Execute daily and weekly tasks of scheduling & posting content on multiple social media platforms
 - Monitor company social media accounts for messages and requests. Respond on behalf of executives specifically as instructed.
 - Special Projects: Collaborate with the executive team on diverse projects, such as events planning, corporate social responsibility initiatives, and process improvements.
 
REQUIREMENTS:
- Proven Experience: Previous experience as an Executive Assistant or similar role, preferably in a fast-paced and dynamic environment.
 - Remote Work Proficiency: Demonstrated ability to work effectively in a virtual environment, utilizing various communication and collaboration tools.
 - Organizational Skills: Exceptional organizational skills with a keen eye for detail. Ability to manage multiple tasks and prioritize effectively.
 - Communication: Outstanding verbal and written communication skills, including the ability to communicate confidently and professionally with individuals at all levels.
 - Proactive Mindset: Strong problem-solving skills and the ability to anticipate needs, proactively address challenges, and identify opportunities for improvement.
 - Tech Savviness: Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace and virtual meeting platforms.
 - Confidentiality: Demonstrated ability to handle sensitive and confidential information with the utmost discretion and professionalism.
 - Adaptability: A flexible and adaptable approach to work, able to thrive in a dynamic and rapidly changing environment. Willing to learn and apply Wingspan Performance tools to daily job tasks
 - Team Player: Strong interpersonal skills with a collaborative and upbeat attitude. Willingness to support and work closely with team members across different functions.

Pay: $47,573.00 – $57,292.22 per year
