This role is a hybrid of Executive Assistant, PR Coordinator, and Brand Operations support, designed for someone who wants meaningful responsibility and room to grow.
What You’ll Do
- Manage and prioritize the executive’s inbox with clarity and professionalism
- Draft sharp, polished communication that reflects the Visionary Doc voice
- Turn ideas, voice notes, and scattered information into clear action steps
- Support PR outreach, media coordination, collaborations, and scheduling
- Prepare bios, talking points, headshots, and brand assets for external opportunities
- Organize content ideas, notes, recordings, B‑roll, and digital assets
- Assist with backend logistics for social content and brand communication
- Coordinate meetings and scheduling across CST time zones
- Relay instructions and updates to internal team members (not patient-facing)
- Maintain trackers, deadlines, follow‑ups, and project lists
- Use AI tools (like ChatGPT) to draft documents, summaries, SOPs, and templates
- Keep workflows moving, even when the environment is fast and dynamic
Who You Are

- Comfortable working closely with a high-velocity founder
- Tech‑savvy and excited about using AI tools to increase efficiency

- Professional, discreet, and trustworthy
- Available during CST hours with flexibility on weekends when needed
- Bonus:Â Experience in healthcare or ophthalmology (preferred but not required)
Qualifications
- 2–5+ years as an Executive Assistant, PR Coordinator, Communications Assistant, or similar role
- Excellent writing and communication skills
- Experience managing complex inboxes, calendars, and multi-step workflows
- Ability to stay organized and efficient while managing multiple priorities
- Strong follow‑through — you don’t drop balls
- Comfortable with digital tools, cloud systems, and AI platforms
- Experience in a medical clinic or healthcare environment is preferred
- Ophthalmology experience is a strong plus
Work Schedule & Availability
- Fully remote — no in‑office requirements
- Must work Central Time (CST) business hours
- Must maintain fairly open availability for urgent communication
- Flexibility on weekends when time-sensitive PR or executive tasks arise
- Able to manage autonomy, deadlines, and communication responsiveness
