Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. The ideal candidate will be enthusiastic, positive individual with a willingness to work in a team and be accountable for the tasks given. Excellent communication skills (written and verbal) are a pre-requisite for this role as is a freindly professional mannerisms when dealing with clients and staff. Candidate must be available for video call interview and in person chat if required. Priority given to suitable candidates ready to start work immediately.

Duties

  • Manage incoming calls with professionalism and courtesy, directing enquiries as appropriate
  • Organise and maintain physical and electronic filing systems for easy retrieval of documents
  • Prepare and edit correspondence, reports, and presentations using Microsoft Office, Excel and quick learner with new technolgy/software
  • Perform data entry tasks accurately into software programmes used by the clinic
  • Assist in scheduling meetings, appointments, and managing calendars for staff members
  • Handle administrative tasks including photocopying, scanning, and distributing mail
  • Support bookkeeping activities by maintaining accurate up to date records
  • Ensure upkeep of the clinic, general tidyness and restocking as required
  • Ensure patients and vistors are welcomed according to company practice
  • Ensure office supplies are stocked and order replacements as needed
  • Support team members with ad hoc administrative duties to facilitate daily operations
  • Regular liaison with clinic manager

Requirements

  • Proven office experience or administrative experience in a professional environment
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint) and social media use
  • Experience with bookings software is desirable
  • Excellent organisational skills with the ability to prioritise tasks effectively
  • Good typing speed and accuracy for data entry tasks
  • Good, contrite etiquette at all times, telephone, email and in person communication
  • Social media use and familiarity is desirable
  • Attention to detail in document preparation and record keeping
  • Ability to work independently as well as part of a team in a fast-paced environment
  • Ablility to be accountable for delegated responsibilities and process constructive feedback
  • Written references

Pay: £24,420.00-£28,000.00 per year
