We’re looking for an Operations Assistant with experience assisting management, tracking progress, and maintaining accurate documentation. The role also involves supporting the preparation of technical reports, analyzing data, and ensuring compliance with established standards. performing a variety of administrative and clerical tasks to support the daily operations of the office.
What You’ll Do:
- Assist in utilizing company ERP systems to streamline processes and improve operational efficiency.
- Help establish and document workflow processes to ensure smooth and efficient operations.
- Assist in managing the monthly division activity log and backlog, ensuring records are accurate and up to date.
- Provide support in maintaining the business forecast by collecting and organizing data for strategic decision-making.
- Help track revenue accrual and clearance processes, verifying data against profit margin goals.
- Assist in collecting and organizing labor and expense data for efficiency assessments.
- Help with the preparation, review, and tracking of Terms & Conditions (T&C) and Non-Disclosure Agreements (NDAs).
- Assist with scheduling and managing meetings, ensuring the timely distribution of information and follow-up actions.
- Aid in addressing and resolving customer issues to maintain high satisfaction levels.
- Support daily administrative tasks to ensure efficient office operations.
- Assist with opening, closing, and updating opportunities in the CRM system and organizing files in SharePoint.
- Help ensure the accuracy and timely submission of daily and weekly timekeeping records.
- Assist in scheduling travel and accommodations, ensuring smooth logistics
- Support retrieving Purchase Orders from portals and verifying key commercial information.
- Help generate fixed and time & material invoices, ensure quality control, and track progress through aging reports.
- Assist in setting up and maintaining vendor and customer profiles, ensuring compliance with necessary documentation.
- Ensure the confidentiality of sensitive commercial and financial data and assist in avoiding conflicts of interest.
- Maintain the confidentiality of sensitive commercial and financial information, ensuring data protection and conflict of interest avoidance.
- Take on additional responsibilities to support the operations team as needed.
The Experience We’re Looking For:
- Minimum 5 years’ experience in an administrative or office setting, or in a related function, demonstrating strong organizational and multitasking abilities.
- Bachelor’s degree in business or a related field is preferred, though equivalent professional experience is also highly valued.
- Exhibits excellent written and oral communication skills, with the ability to effectively convey information to diverse audiences.
- Proficient in Microsoft Outlook, Word, Excel, PowerPoint, and Microsoft Teams, showcasing advanced capability in these tools for daily operations and presentations.
- Demonstrates proficiency in using CRM and ERP systems, enabling efficient management of customer relations and enterprise resource planning.
Additional Requirements:
- Must successfully complete a background check and pre-employment/random drug tests
- Legally authorized to work in the United States
- Minimal travel is required for this position, involving domestic and potentially international travel to various job sites and client locations, necessitating flexibility and adaptability to changing schedules and environments.
