Administrative Assistant / Customer Service Representative

We are a leading petroleum and energy equipment distribution company based in Dorval, Quebec. Our primary mission is to prioritize customer service above all else. We do this by fostering excellent relationships with the industry’s top manufacturers, by making sure to always have the necessary inventory for our clients, and by effectively serving all the customers we have from Eastern Ontario, throughout all of Quebec, all the way through to the Maritimes.

To help better serve our customers and work with our partners, we are hiring an administrative assistant to help the company run as efficiently as it can and take the next step. This position is looking for someone to help grow with the company long-term as the industry continues to evolve.

Administrative Assistant / Customer Service Representative

This position will be working closely with our Operations Manager. It will focus primarily on managing incoming phone calls, emails, inquiries and orders, providing quality customer service and assisting in operational support for the office. This means assisting in placing orders, processing invoices, paying bills, warranty management, sales support and more. The Administrative Assistant will communicate and collaborate with the sales team, the customers, the vendors, and all departments included within the company. The position requires someone capable of both working independently and as part of a team, depending on the task, to ensure that our inventory is correctly ordered, priced, invoiced, processed and shipped by the requested time.

How You Will Make a Difference

  • Proactively assist customers, vendors, members of the management team, and coworkers with inquiries, requests for information, or resolution of issues.
  • Efficiently manage invoices by entering, revising, and releasing orders at various stages. Provide clerical support for other team members when appropriate.
  • Analyze, review, and process requests for return authorization and warranty claims, managing accurate and thorough documentation.
  • Demonstrate professional phone etiquette with internal and external customers and vendors by answering inbound customer calls on the departmental phone queue.
  • Act as support and a resource for day-to-day activities within the company

Skills for Success

Years of Related Professional Experience: 3-5 years of experience is preferred.

Educational Requirements: High school diploma or equivalent education; College/University Degree is preferred. A formal education and subsequent undergraduate/graduate degrees are nice to have, but we are most interested in your total experience and professional achievements.

Position Requirements:

  • Proficient PC skills including Microsoft Office and Excel
  • Full Bilingualism of English and French is absolutely required
  • Customer service oriented
  • Excellent verbal and written communication skills
  • Must be a self-starter with a proactive working style.
  • Knowledge of Microsoft Business Central (optional)
  • Ability to learn and adapt.
  • High attention to detail
