Reporting to – L&D Manager

Location – Fully Remote

Contract – Fixed Term – 3 Months

About the role:

We are seeking an organised and proactive Administrative Assistant to support our Learning & Development team, with a focus on coordinating Oliver McGowan Mandatory Training. The role involves managing administrative tasks, maintaining accurate records, and ensuring training compliance, while also supporting wider business needs to keep the team running efficiently.

Roles and Responsibilities:

  • Coordinate Oliver McGowan Mandatory Training (OMMT), ensuring all sessions are scheduled and communicated effectively.
  • Liaise with OTMs, branch managers, and other team members to confirm attendance and participation.
  • Contact the training provider to arrange dates, times, and any special requirements for sessions.
  • Inform the Learning & Development Business Partner (L&DBP) of any concerns, issues, or conflicts relating to training or attendance.
  • Take attendance at training sessions and ensure accurate records are maintained.
  • Use the LDSS system to process reimbursements for training costs.
  • Assist with general L&D administrative tasks, including monitoring inboxes, responding to queries, and supporting the team as required.
  • Complete training on all relevant systems and processes to ensure tasks are carried out accurately and efficiently.

Required Skills & Experience:

  • Excellent organisational skills with the ability to manage multiple tasks and deadlines effectively.
  • Strong attention to detail to ensure accuracy in records, attendance, and reimbursements.
  • Clear and professional communication skills for liaising with colleagues, branch managers, and training providers.
  • Proactive problem-solving skills to identify and escalate issues when needed.
  • Ability to work independently while supporting the wider L&D team.
  • Adaptability and willingness to learn new systems and processes.
  • Reliability and accountability, with a strong sense of responsibility for maintaining compliance and smooth operations.

Desirable skills:

  • Strong IT skills.
  • Experience using learning management systems or similar training administration tools.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively within a team and build effective working relationships.
  • Attention to detail and accuracy in record-keeping and reporting.
  • Ability to prioritise tasks and manage multiple deadlines.
