The Human Resources function plays a critical role in maintaining organizational culture, compliance, talent development, and operational excellence.

Role Summary

We are seeking a highly organized, detail-oriented, and people-focused Executive Assistant (Human Resources) to support the HR leadership team. This role blends executive-level administrative support with hands-on HR coordination, talent operations, and internal communications.

The ideal candidate is comfortable working across multiple time zones, supporting a distributed workforce, managing confidential information, and contributing to HR initiatives such as recruitment, onboarding, employee engagement, and policy management.

Key Responsibilities1. Executive & HR Administrative Support

  • Manage calendars, meetings, and scheduling for HR leadership and executive stakeholders.
  • Prepare HR-related documents, reports, presentations, and correspondence.
  • Track action items from HR meetings and ensure timely follow-ups.
  • Maintain confidential HR files, employee records, and documentation.

2. Recruitment & Onboarding Coordination

  • Support end-to-end recruitment processes for employees, interns, volunteers, and advisors.
  • Schedule interviews across time zones and coordinate with hiring managers.
  • Assist with onboarding logistics, offer letters, background checks, and orientation sessions.
  • Maintain applicant tracking and onboarding databases.

3. Workforce & Global Team Coordination

  • Serve as a point of contact between HR leadership and global team members.
  • Support coordination with department leads on staffing, performance reviews, and role changes.
  • Assist with time zone management for meetings, trainings, and team events.

4. Policy, Compliance & HR Operations

  • Assist in maintaining HR policies, handbooks, codes of conduct, and compliance documentation.
  • Support internal audits, compliance tracking, and reporting.
  • Help document HR processes and standard operating procedures (SOPs).

5. Employee Engagement & Internal Communications

  • Assist in planning and coordinating virtual trainings, workshops, and HR-led initiatives.
  • Support internal communications related to HR updates, announcements, and recognition.
  • Assist with employee engagement programs, feedback collection, and surveys.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or related field.
  • 1–3 years of experience in HR administration, executive assistance, or operations support.
  • Strong proficiency in:
  • Google Workspace & Microsoft Office
  • HR systems, spreadsheets, and document management tools
  • Virtual meeting platforms (Zoom, Teams)
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication abilities.
  • High level of discretion, confidentiality, and professionalism.
  • Ability to work independently in a remote, fast-paced environment.
  • Comfortable working across multiple time zones.

Preferred Skills (Bonus)

  • Experience with nonprofit, remote-first, or global organizations.
  • Familiarity with applicant tracking systems (ATS) or HRIS platforms.
  • Experience supporting interns, volunteers, and advisory boards.
  • Project coordination or workforce planning experience.
