Hours: 15–20 hours/week (flexible)
Pay: $20–$25/hour, depending on experience and fit

Your Healthy Karma is a boutique massage therapy and integrative wellness practice serving the Woodinville/Bothell community. Our mission is simple: Feel good. Do good. Be good. We specialize in clinical massage therapy, injury recovery, and whole-person care, and we’re known for thoughtful client care and ethical business practices.
We’re seeking a dependable, detail-oriented Virtual Assistant to support client communication, scheduling, billing, and light marketing.

As long as work is completed accurately and communication is clear, scheduling is flexible.
Primary Responsibilities
Client Communication & Customer Service
- Answer and return phone calls, texts, and emails professionally and warmly
- Confirm appointments and assist clients with scheduling questions
- Serve as the first point of contact for new and returning clients
Scheduling
- Manage appointment scheduling, changes, and confirmations
- Coordinate calendars to ensure smooth daily operations
Billing & Light Bookkeeping
- Create invoices and manage client records in Noterro
- Upload insurance claims via Availity
- Invoice private-pay clients and track payments
- Reconcile insurance payments and follow up on outstanding claims
Additional Responsibilities
Marketing & Outreach Support
- Create and schedule social media posts
- Assist with email newsletters and simple website updates
- Support promotional campaigns and seasonal offerings
What We’re Looking For
We will train the right person. Experience in healthcare, admin, or billing is helpful but not required.
More important than experience:
- Strong English communication skills
- High integrity and trustworthiness

- Strong attention to detail
- Ability to work independently and ask questions when needed
- Friendly, professional communication style
Technology Requirements (BYOD)
This is a bring-your-own-device role. You’ll need:
- A reliable computer (PC or Mac)
- Stable internet access
- Comfort using web-based tools and learning new systems
A $25/month technology stipend will be provided after the initial training period.
Growth Opportunities
As the practice grows, this role may expand into:
- Increased weekly hours
- An Office Manager position
