<Job Summary>
We are seeking a dynamic and highly organized Virtual Assistant to support our team with a wide range of administrative, project coordination, and office management tasks. This role offers an exciting opportunity to contribute to the smooth operation of our business by providing exceptional executive administrative support, managing schedules, handling correspondence, and ensuring efficient workflow. <Responsibilities>

  • Manage and coordinate calendars using tools like Microsoft Outlook Calendar and Google Workspace to ensure all appointments, meetings, and deadlines are accurately scheduled and prioritized.
  • Provide comprehensive administrative support including data entry, filing, proofreading, transcription, and document management using Microsoft Office and Google Workspace applications.
  • Handle phone etiquette with professionalism across multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
  • Assist with event planning for virtual or in-person meetings, conferences, and company events by coordinating logistics and preparing materials.
  • Support bookkeeping and invoicing tasks utilizing QuickBooks or similar accounting software, including tracking expenses and processing payments through platforms like DocuSign.
  • Perform office management duties such as maintaining organized files, managing office supplies inventory, and overseeing front desk responsibilities remotely when needed.
  • Provide project coordination support by tracking progress, preparing reports, and communicating updates to team members.
  • Offer personal assistant services such as travel arrangements, appointment scheduling, and personal errands management as required.
  • Maintain excellent customer service standards by responding promptly to inquiries via email or phone while demonstrating professionalism and courtesy.

<Requirements>

  • Proven experience in administrative roles with a strong background in office management or as a personal assistant.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry skills.
  • Familiarity with QuickBooks for bookkeeping tasks and experience with electronic signature platforms like DocuSign.
  • Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Strong typing skills with high accuracy; experience with transcription and proofreading is highly desirable.
  • Excellent communication skills with professional phone etiquette across multi-line systems.
  • Ability to handle confidential information discreetly while maintaining a high level of professionalism.
  • Prior experience supporting executives or managing calendar coordination is preferred.
